Minimum Qualifications:

High school diploma or GED. Three years experience in medical-setting reception. Skill in customer service. Knowledge of grammar, spelling and punctuation. Skills in data-entry. Ability to speak clearly and concisely. Ability to read, understand, and follow oral and written instruction. Ability to sort and file materials correctly by alphabetical or numeric systems.

Supervised by: Primary Care Administrator

 

Position(s) supervises: Health Care Information Clerks, Medical Transcriptionists

 

Typical Physical Demands and Working Conditions:

Requires prolonged walking and standing, frequent bending, stooping or stretching. Ability to lift papers, charts, or boxes up to 30 pounds occasionally. Requires corrected vision and hearing to normal range. Manual dexterity and eye-hand coordination required for use of calculators, phones, computer keyboards and other equipment. Requires ability to sustain concentration in a noisy and fast-paced environment.

 

Examples of Duties (this list may not include all the duties assigned):

  • Train and supervise Health Care Information Clerks and Medical Transcriptionists.
  • Maintain adequate staffing in department to accommodate timely transcribing and routing of health care information.
  • Manage Health Care Information department consistent with medical, ethical, and legal requirements.
  • Maintain patient confidentiality.
  • Assure confidentiality to health care information by restricting access to authorized individuals only.
  • Supervise and participate in records organization, retrieval and retention.
  • Monitor chart flow processes. Adjust staffing patterns and activities as needed.
  • Assure use of appropriate release of health care information and prepare correspondence to respond to requests.
  • Perform departmental quality assurance reviews.
  • Assist with development of departmental policies and procedures.
  • Monitor and distribute assignments among staff.
  • Work with other supervisors and administrative staff to address organization-wide issues, including program development, personnel policies, employee evaluations, training needs, safety concerns and quality assurance indicators. Make recommendations and/or decisions for improvement based on the impact to the organization, rather than any single department.
  • Represent YNHS in local meetings as requested.
  • Maintain organized, clean, efficient and confidential work area.
  • Perform related work as requested.

All YNHS employees are expected to develop and maintain professional and courteous working relationships with all other YNHS employees, patients, visitors, health profession students, vendors, and volunteers of the organization. In addition, YNHS employees are expected to provide courteous and efficient service to health and social service agencies working with YNHS patients.
